Meet 1 is now open - please declare by Saturday evening
Meet 1 is now open for you to declare attendance by Saturday night. If you do not declare, we assume you are not doing the meet. Please follow the same instructions we sent for the Blue Orange meet.
1. Log into your Swimtopia account
2. Go to Upcoming Events and Click on Meet 1 at Chestnut Oaks
3. Click the Green meet entries button
4. You should see all of your swimmers and click Edit
5. Click the dropdown for each swimmer and select your attendance option.
6. Coach Tyler is giving you the option to have a say in events if you choose. I highly recommend all new swimmers forego this option. However, a good reason should be accompanied by a note in the field. For example, Sydney is missing meets 2 and 3 and really wants to swim both 100's at Meet 1.
7. Click SAVE - very important. You are now done.
8. Next steps for a meet are when Coach Tyler completes entries the evening before the meet, you will see a PDF attached to the event on the website, in your app, AND I will email the PDF. This is your time to print out or make note of your own entries. We will no longer have index cards at check in as some of you are used to per GRAL.
9. Your weekly email will now start to contain all of the meet information you need to know, your volunteer assignments, and upcoming weekly practice schedule. REMINDER: we go to the summer schedule starting Monday. Please review it.
10. A note about volunteering. Summer swim is an all parent-led volunteer organization. When we sign up for summer swim, we check that box that we understand that we are obligated to volunteer in some capacity at each meet that our child swims in. We have some flexibility at away meets but home meets require all hands-on deck. We completely understand that some families have circumstances that may make certain areas of volunteering difficult. We would love to be able to accommodate every request but we simply cannot as it is unfair to other families to have to pick up shifts to work entire meets. If you find yourself in one of those positions, our Parent Rep, Meg Gouldin, has a few jobs that you can do either off deck (with small children in tow), on deck (also with a small child in tow) or the next day at home before ribbons. It is essential that every family contributes in a meaningful way, or we cannot have a swim meet. Email Meg today to explore one of those options in writing. Additionally, many families have older siblings who could be extra eyes on deck if childcare is needed to be helpful. Simply reach out and communicate your needs but know we may not be able to accommodate every request but we will certainly try.
